What is an Onboarding Fee and where does it go?

This article explains why Extenteam charges an onboarding or ramp up fee and where this cost is allocated.

As part of the Extenteam onboarding process, a one-time onboarding / ramp-up fee is charged to the Partner at the beginning of the provision of the service of each team member. This fee covers costs for the essential work done by our Talent Success, Human Resources, IT, and Partner Success departments to successfully source a team member, and ensure full transition into his / her new role. Below you will find the summary of tasks each department:

Talent Success

  • Job Analysis and Description - This includes outlining the responsibilities, qualifications, experience, and other requirements for the position.
  • Sourcing Candidates - The recruitment department utilizes various channels to source potential candidates. This can include posting job advertisements on job boards, social media platforms, and the company's careers page. They may also proactively search for candidates on professional networks.
  • Resume Screening - The recruitment team reviews the received resumes or applications to identify candidates who meet the minimum requirements outlined in the job description. They assess candidates' qualifications, relevant experience, skills, and achievements.
  • Initial Screening - The selected candidates are contacted for an initial screening, which can be conducted via phone or video. This step aims to evaluate candidates further, assess their communication skills, verify their interests and availability, and gather additional information.
  • Interviews - Shortlisted candidates are invited for interviews, which may consist of multiple rounds. The interviews can be conducted by HR personnel, the hiring manager, or a panel of interviewers. Different interview formats, such as behavioral or technical assessments, may be used to evaluate candidates' abilities and fit for the role.
  • Decision Making - Based on the interviews and assessments. The recruitment team collaborates with the hiring manager to make a final decision. The selected candidate is typically provided with a formal offer letter with details about the role, compensation, benefits, and other pertinent information.
  • Offer Acceptance and Onboarding - The recruitment department coordinates the onboarding process if the candidate accepts the offer. This involves completing the necessary paperwork and facilitating the candidate's transition into their new role. Once this process is completed, new hires will meet with Our HR nesting coach and IT department to perform an induction to Extenteam. 

Human Resources

  • HR orientation - New hires are scheduled to meet with our nesting coach to introduce new hires to their new roles.
  • Dedicated HR Representative - Like partner success but for the team members. They assist the team members in assimilating into their new roles. They make sure that they are happy, learning everything they need for the position, and functioning well with their partner.

IT 

  • IT Assessment - New team members are scheduled to perform their final technical assessment to ensure they comply with the technical requirements. Ensure the team member has all of the equipment and that any required software applications and tools are set-up for them. We will thoroughly test the software to ensure that it functions properly and that the team members are prepared to excel in their new roles. Below are the technical requirements an Extenteam team member must meet:
    • 30MBPS or higher internet speed
    • i5 or higher processor 
    • Minimum of 8 GB RAM 
    • Private and quiet dedicated home office area (no noises in the background) 
    • Back-ups in case of power or Internet  interruptions
    • Good headset and webcam (Preferably noise-canceling headset)

Partner Success
  • This team ensures you get all you want and need from Extenteam and vice versa.

  • The Partner Success team focuses on meeting the needs of both Extenteam and the client. They ensure a mutually beneficial relationship. Specific details regarding their role in the onboarding process can be discussed on a case-by-case basis.

 

Note: Extenteam does not charge an onboarding fee if the team member is onboarded as a replacement of a churned team member.
