Guidelines for Inclusive Communication: Removing Honorifics Policy.

To promote an inclusive and respectful workplace culture, Extenteam has adopted a first-name basis policy for all internal communication. This guideline removes the use of formal honorifics ("Sir" or "Ma'am") and encourages addressing colleagues.

This policy applies to all employees, contractors, and partners across all departments and locations at Extenteam.

Policy Details:

  1. Employees should refer to one another by their first names in all verbal and written communication, including but not limited to emails, Slack messages, ClickUp, and meetings. For example, use “Taylor” instead of “Sir Taylor” or “Marian” instead of “Ma’am/Miss Marian.”

  2. First-name usage should be consistent across all platforms, ensuring clear, inclusive, and respectful interactions.

  3. While this policy encourages first-name usage internally, employees should continue to assess the appropriateness of honorifics when communicating externally, respecting cultural and professional norms with clients, partners, or vendors.

  4. If someone inadvertently uses an honorific, a friendly reminder can be issued to reinforce the policy, contributing to a respectful, inclusive environment.

This policy is effective immediately. The HR team will include reminders during onboarding and training sessions, and managers are encouraged to model first-name interactions.
