Step-by-Step Referral Process
Step 1: Submit the Referral via Greenhouse

There are two ways to submit a referral:
Option A: The Team Member submits the referral
- The referring Team Member fills out the application on behalf of the candidate.
- Must upload the resume and candidate details through the Greenhouse job portal.
- The referring Team Member must personally know the person being referred.
- In the application, make sure that the Team Members full name is indicated on the application
Option B: The Referral applies directly
- The candidate (Referral) applies on their own using the Greenhouse link.
- In the application, the Referral must indicate the full name of the Extender (the person referring them).
- If the Team Member’s name is not mentioned, the submission will not be counted as a valid referral.
Step 2: Review by Recruitment Team
- Once submitted, the Recruitment team will evaluate the referral based on hiring needs and role fit.
- Application progress will be based on normal recruitment timelines.
Step 3: Status Update for the Team Member
- The Team Member will receive an email update only after the Referral has completed the full recruitment process.
- If no update is received, it means:
○ The application is still being reviewed, or
○ The recruitment process is ongoing.
Note: There will be no interim updates unless the referral completes the full process.

Reminders
- All referrals must be submitted through the link provided. This will be stored in our ATS which is the source of truth for tracking and timestamping.
- Make sure the full name of both the Referrer and Referral are accurate to avoid delays in tracking and providing of updates.

- Is there a reward for successful referrals?
There is no monetary reward for referrals at the moment. However, by referring someone you trust and believe in, you're helping build a stronger team and work environment. Your recommendation carries real impact and could be the reason someone lands a great opportunity. We deeply value your role in shaping our growing team! - Can I refer a family member or relative?
Yes, but transparency is required. Make sure to disclose your relationship when submitting the referral, especially if the referral may be assigned to your team or a related project. - Can I refer someone for multiple roles?
Yes, but it’s best to choose the most relevant role when applying. Submitting for multiple roles at once may delay the review process. - Can I refer someone who has applied to Extenteam before?
Yes, you may still refer them if they have not been actively involved in Extenteam’s hiring process (e.g., submitted an application, gone through interviews, or assessments) within the last 6 months. - Can I refer someone who was previously employed by Extenteam?
Yes, former employees can be referred, but they will go through the same screening and evaluation process as new applicants. Any rehire eligibility will depend on their past performance and exit record. - What if I accidentally entered my referral under the wrong job post?
No worries. Recruitment will assess the referral and route the application to a more suitable role if needed. However, submitting to the most relevant role helps speed things up. - What makes a referral strong or more likely to be considered?
A referral is considered strong and more likely to be prioritized when the referring team member personally knows the candidate and can confidently vouch for their skills, character, and fit for the company. It also helps if the candidate clearly meets the qualifications for the role they’re applying for, has an updated and complete resume, and submits their application properly through Greenhouse with all the required information included.
- Can I follow up on my referral’s application progress?
We appreciate your enthusiasm, but due to volume, we are only able to provide updates after the full process is completed. For urgent or special cases, you may email recruitment@extenteam.com
