How does the Extenteam Referral Program work

Extenteam referral program will offer cash rewards for referrals that turn into new accounts for our services. Individuals will sign up and refer potential partners through the landing page that will also be located on our website.

Extenteam referral program will offer cash rewards for referrals that turn into new accounts for our services. Individuals will sign up and refer potential partners through the Referral Page that will also be located on our website.


The manual process is outlined below. As the program develops, more of this process will be automated.

 

1. Referrers fill out the form: https://referral.extenteam.com/


2. Referrers receive the Welcome Email (Email Preview). This person may only receive a one-time email the first time they refer someone to Extenteam. We are working with NBT to send an automated email each time a referral is made.


3. The email referrals@extenteam.com receives the form submission notification. The group associated with this email address can be edited so that we have the right individuals receiving the lead form data. One responsible should take notes on such tracking sheet.


4. Sales team manually creates a deal on the Sales Pipeline, associates the deal with a contact (the referral), and associates the deal with a company name (company name of referral). Deal type will be “referral.”

  • Deal Type: Referral
  • Deal stage: Customer Engaged
  • Any unknown fields should be TBD
  • Value should be set at $0
  • Position type: Regular
  • Onboarding Fee: $399
  • Deal Owner: Rich Sippos (he will assign to the sales team)

Before creating a new deal associated with the referral,  please check if the referral is already in our database. If the referral is already in our database, make a note in the deal indicating that.

While the sales team associates the deal with the referral, Create New tab should be used. This way, we will have added the referral to our CRM database.



Once you have created a new contact associated with the deal in the referral program pipeline, you should enter the contact property named Persona Segment as Referral.

 

5. Sales team adds Notes to the deal with the following information or just this tracking sheet.


Referrer Name and Last Name:

Referrer Email:

Company Name of Referrer:

etc.


6. If the Referral Deal is closed, the sales team OR a responsible person sends a "Congrats, partner added to Extenteam." email to Referral Partner. See Email Template.


7. If the Referral Deal hits the 60-day mark, the sales team OR a responsible person sends a "Congrats here is your reward $" email to Referral Partner. See Email Template.


8. To request for a referral reward, send an email to marian@extenteam.com that a $200 referral reward gift card needs to be sent out. Referrer's complete name and email address must be provided.


The sales team or a responsible person may create a weekly report by checking Form Submission Notifications and Hubspot report with any deal type with “referral” selected.
