Catch-Up Call Guidelines

Catch-up calls are a simple but powerful way to stay connected, support each other, and ensure no one feels left behind. Extenteam deeply values every member, and in our remote work environment, these calls are the heartbeat of our connection.

Why These Calls Matter to You

  • Be heard — share what matters to you, whether work or personal. Doing so strengthens relationships and makes managing changes easier.

  • Celebrate and discuss — highlight your wins, raise any feedback or concerns, talk about your goals, and outline the support you need to succeed.

  • Get support — if client questions arise, we’ll already understand your context and can back you up effectively. Moreover, nesting team members can use their weekly calls to get guidance and support during their transition.

  • Stay aligned — hear Extenteam updates and feedback from clients.

Catch-up calls work best when we bring honesty and openness to the table. Together, we’re building a culture of trust.

Clients and partners value these calls because they provide real-time insight into your work and how you feel about it, help address questions quickly, and keep projects on track. Regular communication strengthens relationships and demonstrates professionalism and reliability.


Attendance

  • Regularly check your Extenteam email and confirm your scheduled catch-up call.

  • Mandatory calls:

    • Nesting team members: one (1) call per week

    • Tenured team members: at least one (1) call per month

  • Calls are recorded for documentation and audit purposes to ensure you receive the best support from HR partners. You may request not to record sensitive parts of the conversation.

  • Attendance Incentive:

    • Tenured team members who attend their calls on time and as scheduled will have a chance to spin the Wheel of Bonus ($1–$10).

    • Nesting team members who complete all four (4) weekly calls in their nesting month will also earn a chance to spin the Wheel of Bonus ($1–$10).

  • Missing two consecutive calls without a valid reason will result in appropriate measures to ensure engagement and collaboration.


Schedule

  • Catch-up calls are typically scheduled outside your shift with the client/partner to prioritize work commitments and minimize disruptions.

  • Flexibility is important — if you are unable to attend, notify HR in advance and propose an alternative time. You may also book directly with your HR partner using their calendar link.
